Director of Operations

Our client a well-known Tampa area specialty pharmacy seeks a Director of Operations.

JOB SUMMARY:

The Director of Operations is responsible for management and oversight of the processes creating, controlling and improving end-to-end business activities that improve operational efficiency.  In addition to day-to-day operations, they will be responsible for capacity building for newly identified and developed business opportunities, train staff in daily workflow in a positive environment, oversee all billing and financial responsibilities, and ensure continued compliance with dual specialty accreditations.

ESSENTIAL FUNCTIONS:

  • The Director of Operations major responsibilities are capacity building and operational development, community involvement, overseeing all departments including retail/042/specialty/compliance/HR while demonstrating leadership with excellent customer services and extending company reach to all needed patients.
  • Oversee the entire order cycle from product procurement to patient delivery, to enhance both referral source and patient satisfaction and ensure the long-term retention of both referral source and patient.
  • Excellent Verbal and Written Communication Skills
    • Holds weekly informal companywide communication meetings.
    • Holds quarterly Quality Management and Performance Improvement Meetings.
  • Business Development
    • Works in conjunction with Co-Presidents to write summaries of new specialty business and/or contracting as needed.
    • Works directly, or indirectly, with the company’s contracted 340B clinics to ensure clinic satisfaction.
  • Community Involvement
    • Develop strong and lasting business relationships with the company’s contracted clinics to maximize both referral source retention and new referral activity.
    • Meet with pharma representatives and maintain knowledge of therapeutics and patient assistance programs and open access to foundations.
    • Attend and encourage staff to attend patient outreach programs including but not limited to Gay Days, Pride events, Strike Out for AIDS, Hope and Help Gala, Metro Gala, CAN Gala and AIDS walks.
  • Oversee Compliance
    • Director of Operations will directly oversee the compliance officer.
    • He or she will be a member of the Compliance Committee.
      • Must implement committee recommendations and collaborate with Co-Presidents and other committee members.
    • Oversees Human Resources
      • Director of Operations is in charge of hiring and firing.
  • Inventory
    • Ensures accurate drug pricing on a daily basis.
      • Negotiates with vendors to obtain optimum price and service as directed.
    • Supervises and oversees inventory and procurement management of both company wholesale accounts and 340B wholesale accounts.
    • Ensure accurate inventory counts throughout the pharmacy to include all stock bottles and inventory management/control processes are maintained.
  • Oversee Marketing Material
    • Creates and reviews all new Patient Education Documents
    • Ensures literacy level of patient information appropriate for consumer
    • Ensures annual review and update of patient education material as necessary
    • Review, edit and approve all marketing and web-site information prior to publication
  • Oversee Shipping Department and ensure the following:
    • Coordinates timely processing of deliveries, Notice of Privacy Practices, welcome packets, and associated documents.
      • Ensures company is receiving welcome packets back signed for URAC and ACHC accreditation requirements
    • Billing operations
      • Reviews Monthly Drug Charge Audit and Monthly Waste Activity reports
      • Assure targeted financial goals are met.
  • Oversees Compliance and Requirements of all FDA Trials

KNOWLEDGE, SKILLS & ABILITIES:

  • An expert communicator able to listen effectively to find the root cause of issues and communicate clearly and in a friendly way to solve the issue and keep the customer happy
  • Ability to deal with the public under stressful circumstances in a fair, calm and understanding way and obtain positive results
  • Excellent written and verbal communication skills with the ability to effectively communicate and establish collaborative relationships with physicians, patients, clinical and administrative staff, and the public
  • When communicating over email or live chat must write well, with correct grammar
  • Must be willing to travel and attend educational or GPO requirements
  • Ability to organize and prioritize a variety of tasks/projects

EDUCATION & EXPERIENCE

  • Doctor of Pharmacy or BS in pharmacy
  • Current, unrestricted license in the State of Florida
  • At least five (5) years supervisor and/or organizational leadership experience with business operations leadership. Three plus (3+) years of experience managing ongoing processes.
  • Has logistics and supply chain management experience; overseeing and directing product, processes and customer service. Five plus (5+) years of experience identifying and implementing process improvements.
  • Proficiency with Word, Excel, PowerPoint (Microsoft Office products)
